This policy applies to CLEAN BEST GROUP PTY LTD, ABN 84 700 040 553, trading as Clean Best, at 54 Columbia Rd, Seven Hills NSW 2147. It covers this website and every cleaning enquiry, quote and job we handle for premises in Castle Hill and the surrounding area. We handle personal information in accordance with the Australian Privacy Principles under the Privacy Act 1988 (Cth).
What we collect
We only collect what we need in order to quote and deliver a clean. From the quote form on this website, that is your first and last name, your phone number, your email address, the service you have asked about, the time of day you would like us to call, and optionally the address of the premises and any message you write.
If you become a client we will also hold the information needed to run the job and to bill you: the site address and access arrangements, the agreed scope, your billing details, and the records of our own cleaning and audit visits. If you telephone us we will make a note of what you asked for.
We do not collect sensitive information as that term is defined in the Privacy Act, and we ask that you do not send it to us. In particular, please do not put health information, government identifiers or payment card numbers into the message box on the quote form.
The hidden field on the quote form
The quote form contains one field that is not shown to you and is hidden from screen readers and from the keyboard tab order. It exists only to catch automated spam submissions: software that fills in every field it can find will fill that one in too, and any submission where it is not empty is discarded. It never collects anything about you, and if you are a person you will never encounter it.
How we use it
We use your information to reply to your enquiry, to arrange and carry out the free walkthrough, to prepare and send your written quote, to deliver and supervise the cleaning if you engage us, to invoice you, and to respond if something goes wrong. That is the whole list.
We do not sell personal information. We do not rent, trade or otherwise disclose it to third parties for their own marketing. We do not add you to a marketing list because you asked for a quote, and we do not run a remarketing campaign at you afterwards.
Who else touches it
A quote form submission is transmitted to the Clean Best contact endpoint and delivered to us by email through Amazon Web Services, which acts as our email delivery provider. This website is served by our hosting provider, which keeps ordinary server logs including IP addresses for security and diagnostic purposes.
Beyond those service providers, we disclose personal information only where you would expect us to or where we must: to a building manager, centre management or a strata committee where they require the name of the cleaner attending their site, to our insurer if a claim is made, to our accountants, and to a court, tribunal or regulator if the law requires it.
Cookies and tracking
At the time this policy was last updated, this website does not run an analytics script, an advertising pixel or any third-party tracking cookie. Your browser may store ordinary technical data needed to display the site. If we ever add analytics or advertising technology, this section will be updated before it goes live.
How long we keep it
If you ask for a quote and do not proceed, we keep the enquiry for up to two years, because Castle Hill businesses frequently come back at the end of a lease or a budget cycle and it saves you repeating yourself. If you engage us, we keep client and job records for at least seven years, which is the period Australian tax and business records law requires. After that, records are deleted or destroyed.
Keeping it secure
Quote form submissions are transmitted over an encrypted connection. Access to client records is limited to the people in the business who need them to do their job. No system is perfectly secure, and we will not pretend otherwise — but if a data breach occurred that was likely to result in serious harm, we would notify you and the Office of the Australian Information Commissioner as the Notifiable Data Breaches scheme requires.
Access, correction and deletion
You can ask us for a copy of the personal information we hold about you, ask us to correct it if it is wrong, or ask us to delete it. Email hello@cleanbestgroup.com.au or call 1300 494 983. We will respond within 30 days. There is no fee for making the request. We may need to verify who you are before we hand anything over, and we may need to keep records the law requires us to keep even after you ask us to delete them — if that applies, we will tell you which records and why.
Complaints
If you think we have mishandled your personal information, tell us first: email hello@cleanbestgroup.com.au or call 1300 494 983 and we will investigate and respond in writing. If you are not satisfied with our response, you can take the complaint to the Office of the Australian Information Commissioner, which is the regulator for privacy in Australia and which you can contact independently of us.
Changes to this policy
If this policy changes, the updated version will be published on this page with a new date at the top. We will not change it retrospectively to permit something we did before the change.
